Notary Services in Passaic County, NJ: A Practical Guide
By Tawana Harris ·

Passaic County is home to a wide mix of small businesses, manufacturing companies, and professional offices, from Paterson and Clifton to Wayne and Passaic. That mix means notary needs here often look different from a typical residential appointment: they involve a workplace, a stack of paperwork, and more than one person who needs to sign.
This guide covers how notary appointments at a business or office generally work in Passaic County, what to prepare when several signers are involved, and where the line falls between what a notary can and cannot help with.
Notary appointments at a workplace or office
A New Jersey notary may perform notarial acts anywhere in the state, which includes conference rooms, front offices, and break rooms just as easily as a kitchen table. For a business, this often means a notary can come to the office rather than sending an employee out during work hours.
Common workplace documents include employment verification letters, corporate resolutions, authorization letters, and vendor or lease paperwork that requires a signature to be witnessed. Whatever the document, the same core rule applies: the signer must appear in person before the notary, aware of what they are signing and willing to sign it.
When more than one person needs to sign
Business documents frequently involve multiple signers, such as business partners, an employer and an employee, or several members of an LLC. Scheduling one appointment where everyone is present at the same time is usually more efficient than separate visits, and it avoids the confusion of documents traveling back and forth.
- Confirm ahead of time which signatures need to be notarized versus which are simply informational
- Make sure every signer will have acceptable identification with them
- Have the document complete and ready, aside from the signatures to be witnessed
- Let the notary know how many people are signing so the appointment can be scheduled accordingly
Each signer generally needs to appear in person and present valid identification. A notary cannot notarize a signature on behalf of someone who is not present.
Identification and multi-signer documents
Identity is confirmed the same way for every signer: through personal knowledge of the individual, satisfactory evidence such as a valid unexpired government-issued photo ID with a signature, or the oath of a credible witness who personally knows the signer. When several people are signing the same document, the notary will still confirm identity individually for each one before proceeding.
If one signer is missing valid identification and no credible witness is available, that person's portion of the document generally cannot be completed at that appointment. It is worth double-checking everyone's ID situation before the day of signing to avoid a partial appointment.
What a notary can and cannot do for a business
A notary's role is to verify identity, witness signatures, and complete the appropriate notarial certificate, such as an acknowledgment or a jurat. A notary who is not an attorney cannot draft business documents, explain the legal effect of a contract, choose which certificate applies, or fill in blanks left in a document.
This means the business or its attorney should prepare the document fully in advance, including any notarial certificate language it needs. If a document does not already state the type of notarial act required, the office requesting the notarized document is usually the right place to confirm that detail.
Documents a Passaic County business might commonly need notarized
- Corporate resolutions and certifications
- Authorization or agency letters
- Affidavits related to business operations
- Employment or verification letters requiring a sworn statement
Fees are set by state law, not by transaction size
New Jersey law caps notary fees at $2.50 per notarial act, regardless of how complex the document or how many pages it contains. For real estate transactions specifically, the cap is $15.00 per transaction for grantors and $25.00 per transaction for mortgagors, again applying to the whole transaction rather than per signature. A separate travel or convenience fee may apply for a notary who comes to your office, and that should be agreed upon before the appointment.
Planning your appointment around business hours
Because notary appointments for businesses often need to fit around a workday, it helps to schedule ahead rather than trying to arrange something last minute. Mentioning your preferred time window, the number of signers, and the type of document when you request an appointment makes it easier to find a time that works for everyone in the room.
Frequently asked questions
- Can a notary come to our office in Passaic County?
- Yes. A New Jersey notary can perform notarial acts anywhere in the state, including a business office, as long as each signer appears in person.
- Do all signers on a business document need to be present at the same time?
- Not necessarily at the same moment, but each signer must personally appear before the notary at some point to have their signature witnessed. Scheduling everyone together is often simpler.
- Can a notary tell us which notarial certificate our business document needs?
- A notary who is not an attorney cannot choose a certificate or give legal advice about which one applies. That should be determined by the document's preparer or an attorney beforehand.
- What if an employee does not have their ID with them?
- Without acceptable identification or a credible witness who personally knows the signer, that person's signature generally cannot be notarized at that appointment.
