Getting Documents Notarized

How to Prepare for a Mobile Notary Appointment

By Tawana Harris ·

A mobile notary appointment is convenient by design, but a little preparation on your end makes the visit faster and helps avoid the most common reason appointments get rescheduled: something was missing or incomplete when the notary arrived.

Here is what to have ready before your appointment, whether it is happening at your home, your workplace, or somewhere else in New Jersey.

Confirm your identification is valid

Bring a valid, unexpired, government-issued photo ID such as a driver's license, state ID card, or passport. If your name on the ID does not match the name on your document, for example after a recent marriage or name change, mention it when you schedule so it can be discussed ahead of time rather than at the door.

Do not sign the document ahead of time

This is one of the most common mistakes. If your document requires an acknowledgment or jurat, the notary generally needs to witness the signing itself, so signing in advance can mean starting over. When in doubt, wait until the notary is present to sign.

Make sure the document is complete

Check that every blank field that should be filled in has been filled in, and that you have all the pages of the document. A notary is not able to tell you what belongs in a blank field or whether the wording is legally sufficient, that is a question for the document's issuer or an attorney, but they can tell you if pages appear to be missing.

Gather everyone who needs to sign

If more than one person needs to sign the same document, arrange for all signers to be present, each with their own valid identification. This avoids a second appointment just to notarize the remaining signatures.

  • Valid photo ID for every signer
  • The complete, unsigned document
  • Any related paperwork the recipient specifically asked for
  • A quiet space with a flat surface to sign on
  • A few extra minutes for the notary's journal entry

Plan for timing and fees

Confirm the appointment time, location, and any travel or convenience fee before the notary arrives. Notarial act fees in New Jersey are capped by law, but travel fees are separate and should be agreed upon in advance so there is no confusion when the appointment concludes.

If you are not sure whether your document needs to be notarized at all, or which type of notarial act it requires, check with the requesting party before your appointment. A notary can perform the act you need but cannot decide that for you.

Choose a location that works for the whole appointment

Think through where the appointment will actually happen before the notary arrives. A quiet room with a flat surface and good lighting makes it easier to review pages, sign clearly, and avoid mistakes. If the appointment is happening somewhere less private, such as a workplace lobby or a public location, consider whether that setting still allows everyone to speak candidly and sign without feeling rushed, since the notary needs to be satisfied that each signer understands the document and is signing willingly.

If the signer has health or mobility limitations

For appointments involving someone who is recovering from a procedure, managing a chronic illness, or otherwise limited in mobility, plan for a slightly longer visit and make sure the signer is rested and alert at the scheduled time rather than right after medication or a difficult part of their day. Mentioning this when you book allows the notary to plan accordingly.

Common mistakes that lead to a rescheduled appointment

Most delays are avoidable with a little foresight. The most frequent issues are:

  1. Signing the document before the notary arrives, when the document actually required the notary to witness the signature
  2. Bringing an expired ID or one that does not match the name on the document
  3. Missing pages, or blank fields that should have been filled in beforehand
  4. One or more required signers not being present at the scheduled time
  5. Confusion about the appointment location or start time

None of these are complicated to avoid once you know to look for them, which is exactly why a short checklist before the appointment saves everyone time.

What happens after the signing is complete

Once the notary has verified identification, witnessed the signature, and applied their seal, your document is ready to be delivered to wherever it needs to go, whether that is a bank, an attorney, a government office, or a family member. The notary will record the details of the transaction in their journal, as New Jersey law requires, but will not keep a copy of your document. Make a copy for your own files before the original leaves your hands, especially for documents you may need to reference later such as a power of attorney.

Frequently asked questions

Can I fill out the document but leave the signature line blank until the notary arrives?
Yes, that is generally the right approach for any document requiring an acknowledgment or jurat.
What if I realize I am missing a page right before the appointment?
Call ahead as soon as possible. It may be better to reschedule than to notarize an incomplete document.
Should I have a printer available in case something needs to be reprinted?
It is helpful if one is available, but it is not required. Bring the cleanest, most complete copy you have.
Can the notary tell me if my document is legally valid?
No. That determination belongs to the party requesting the document or to an attorney, not the notary.
Should I make copies of my document before the appointment?
It is a good habit, since the notary will not keep a copy for you and you may want one for your own records afterward.
What if a signer is too tired or unwell to focus during the scheduled time?
Let the notary know as soon as possible. It is better to reschedule for a time when the signer can clearly understand and willingly sign the document.
